This Privacy Policy explains how Vinyl Ink collects, uses, shares, and protects information when you visit vinyl.ink, request a quote, drop off a vehicle, sign up for SMS, or otherwise do business with us. Our Commitment, Up Front
We will never share or sell your personal or company information, period. This includes your name, email, phone number, mobile information, and any other contact details you provide. Mobile information (phone numbers and SMS opt-in data) will not be shared with third parties or affiliates for marketing or promotional purposes under any circumstances. We do not spam, but we may send follow-up correspondence such as quality-assurance messages, care instructions, product bulletins, or warranty-related information for items you purchased.
Who We Are
Vinyl Ink is a vehicle wrap, paint protection film (PPF), window tint, and signage shop based in Fremont, California. We operate as Vinyl Ink Corporation. Our shop and registered business address is 4835 Davenport Place, Fremont, CA 94538.
What Information We Collect
Information you provide:
- Name, business name, billing and shipping addresses
- Email address and phone number (mobile and landline)
- Vehicle information (year, make, model, VIN, license plate, mileage, color)
- Photographs of your vehicle taken at drop-off, during installation, and at pickup
- Artwork, logos, design files, and brand assets you submit for printing or installation
- Payment information you enter at checkout (handled by Stripe)
- Signatures captured on quotes, work orders, drop-off forms, and proofs
- Notes, preferences, and any other details you share with our staff
Information collected automatically when you visit vinyl.ink:
- IP address, browser type and version, device type, operating system
- Pages viewed, links clicked, time spent on the site, referring URL
- Aggregate traffic and engagement data collected by Google Analytics 4 -- the only analytics tool installed on vinyl.ink. No Google Tag Manager, no Meta Pixel, no other third-party analytics or advertising trackers are in use.
Information collected on our shop premises:
- A high-definition 360 degree walk-around video of your vehicle at drop-off, retained for two weeks after installation
- Mileage and condition notes
We do not sell this information. Ever.
How We Use Your Information
We use the information we collect to:
- Quote, schedule, perform, and invoice the work you have asked us to do
- Communicate with you about your job -- appointment reminders, drop-off and pickup confirmations, proof approvals, status updates, and pickup notices
- Send warranty information, care instructions, and product bulletins for items you purchased
- Process payments and issue refunds
- Maintain accurate records for tax, accounting, and warranty purposes
- Improve our website, services, and customer experience
- Comply with legal obligations
- Defend ourselves in disputes, including documenting vehicle condition before and after work
We do not use your information to build advertising profiles, sell to data brokers, or share with affiliates for their own marketing.
SMS / Text Messaging
By providing your mobile phone number to Vinyl Ink, you consent to receive text messages from us related to your order, appointment reminders, quotes, service authorizations, drop-off and pick-up confirmations, and other transactional communications. You may also opt in to receive promotional messages; promotional opt-in is separate from transactional consent and is not required to do business with us.
Message and data rates may apply per your wireless carrier's plan. Reply STOP to opt out at any time. Reply HELP for assistance, or contact us at remove@vinyl.ink or 4835 Davenport Place, Fremont, CA 94538.
We use Twilio Inc. as our SMS service provider. Mobile information (phone numbers and SMS opt-in data) will not be shared with third parties or affiliates for marketing or promotional purposes.
Email Communications
We use email to send quotes, invoices, proofs, appointment reminders, warranty information, and occasional shop updates. Every marketing email includes an unsubscribe link. Transactional emails (quotes, invoices, proofs, pickup notices) cannot be unsubscribed because they are required to complete the work you have asked us to do.

Photographs and Work-Product Release
Vinyl Ink photographs and films vehicles, signage, and other work in progress and at completion. We use the images and recordings to document vehicle condition for our records and to show our work in our online and printed portfolio, on social media (including Instagram, Facebook, TikTok, YouTube), in advertisements, on vinyl.ink, and to other prospective customers.
Where the work displays a customer's trade name, logo, or other branding, we may include those marks in published images of the completed work for portfolio and promotional purposes -- not to imply endorsement or partnership. License plates, VINs, and personally identifying details are obscured or cropped before public posting whenever practical.
Opt-out. Email remove@vinyl.ink with your name, vehicle or job description, and the request to remove or exclude. We cannot recover images already shared or downloaded by third parties.
Vehicle On-Premises Records
When you drop off a vehicle for service, we keep records to protect both you and us. These include the 360 degree walk-around video, mileage, VIN, written intake notes, and any photos taken during the work. The walk-around video is retained for two weeks after installation. Other intake records are retained as part of the job file.
Sharing With Third Parties
We share information only with the service providers we need to run the business. We do not sell your information, and we do not share it for cross-context behavioral advertising. The providers we use:
- Payment processing -- Stripe, Inc. Card information is tokenized and held by Stripe; full card numbers are never stored on Vinyl Ink systems.
- SMS messaging -- Twilio Inc., for delivering text messages on our behalf
- Email delivery -- Resend, for sending transactional and marketing email on our behalf
- Website hosting -- Webflow, Inc., for hosting vinyl.ink
- Website analytics -- Google LLC, for Google Analytics 4 (the only analytics tool in use on vinyl.ink)
- Calendar and scheduling -- Google Calendar, for syncing appointments
- Cloud storage and file backups -- Synology NAS (on-premises) and any cloud backup service in use
- Accounting and tax -- our accountant and any accounting software we use
- Insurance carriers -- when filing or defending a claim involving a customer vehicle
- Legal and law enforcement -- when required by valid subpoena, court order, or other lawful request
Cookies and Tracking Technologies
vinyl.ink uses cookies from Google Analytics 4, which sets first-party cookies automatically when GA4 is loaded. The cookies in use are _ga (distinguishes unique users, 2-year default lifetime) and _ga_container-id (maintains session state). These cookies collect aggregate, non-identifying analytics data and are not used for advertising, retargeting, or cross-site tracking. We do not use Google Tag Manager, Meta Pixel, advertising cookies, or any other cross-site tracking technology on vinyl.ink.
To opt out: use your browser settings to block or clear cookies, install Google's Analytics opt-out add-on, or send a Global Privacy Control (GPC) signal.
Data Retention
- Job records, invoices, and warranty files -- kept for at least 7 years after the job closes
- 360 degree vehicle walk-around video -- 2 weeks after installation
- Artwork file backups -- we attempt to keep backups for up to 10 years but do not guarantee storage; customers must keep their own copies
- Marketing email lists -- until you unsubscribe
- SMS opt-in records -- kept for the duration of consent and a reasonable period afterward to demonstrate compliance with carrier and CTIA rules
Data Security
We protect your information with reasonable administrative, technical, and physical safeguards including access controls, encrypted storage where appropriate, network firewalls, staff training, and physical security at our premises. No system is perfectly secure. If we ever experience a data breach that materially affects you, we will notify you as required by California law.
Children's Privacy
vinyl.ink is not directed to children under 13. We do not knowingly collect personal information from children under 13 and we do not knowingly sell or share personal information of consumers we know to be under 16 without required authorization. If you believe a child under 13 has provided us with personal information, contact us at remove@vinyl.ink and we will delete it.
Your California Privacy Rights (CCPA / CPRA)
If you are a California resident, the CCPA as amended by the CPRA gives you specific rights about your personal information. In the past 12 months we have collected: identifiers (name, email, phone, address, IP address); customer records (billing/shipping address, payment information); commercial information (purchase and service history); internet or network activity (browsing on vinyl.ink, cookies); geolocation (general, from IP address); audio, electronic, visual information (vehicle photos, 360 degree walk-around video, signed work orders); and professional or business information (for commercial customers).
Sale or sharing: We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising.
Your rights: Know, Delete, Correct, Opt out of sale or sharing, and Non-discrimination. To exercise your rights, email remove@vinyl.ink, call (510) 414-6013, or mail 4835 Davenport Place, Fremont, CA 94538. We will respond to verifiable requests within 45 days.
Although we do not sell or share personal information, California law requires us to offer a Do Not Sell or Share opt-out by name. To exercise it, email remove@vinyl.ink with the subject Do Not Sell or Share.
Your Rights If You Live Outside California
If you live in another U.S. state with a comprehensive privacy law (such as Colorado, Connecticut, Virginia, Utah, Texas, Oregon, or others), you may have rights similar to those described above. Contact us at remove@vinyl.ink and we will respond consistent with your state's law.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will change the Last Updated date at the top and post the new version at vinyl.ink. If the changes are material, we will do something more visible -- a notice on the homepage, an email to customers on file, or both.
